The Dot London Small Business Awards 2015 Full Terms and Conditions

1. This Promotion is open to all businesses and individuals with a registered address in one of the 32 boroughs of London or the City of London, aged 18 or over, excluding employees of the Promoter, their families, agents or anyone else professionally connected with this Promotion.

2. No purchase necessary however internet access is required.

3. Promotion Period: there are 2 phases in this Promotion, see below:

  Phase 1: Nomination Period
  Opening date and time: 09.00 BST on 30th September 2015
  Closing date and time: 17.00 GMT on 6th November 2015

  Phase 2: Voting Period
  Opening date and time: 17.00 GMT on 17th November 2015
  Closing date and time: 17.00 GMT on 8th January 2016

4. To Enter: Go to awards.london and nominate yourself or your business for one of the 13 award categories.

5. Further General Entry Details:

  1. Entrants must be sole traders or business owners with 1–50 employees at the time of entering;
  2. Entrants must have a registered business address in one of the 32 boroughs of London or the City of London;
  3. Businesses with multiple outlets or branches (up to a maximum of 3) are eligible to enter but must meet the criteria of having fewer than 50 employees across the business;
  4. Franchises are eligible if there are fewer than 3 branches in London and under 50 employees across these branches;
  5. All entrants must have a website and/or online presence (i.e. social media profile); entrants who do not provide a website or social media profile at entry may be disqualified;
  6. The comments on the nomination form should be accurate to the best of the entrant's knowledge;
  7. Entrants must be available for consultation with the judges should the need arise, via contact details provided at point of entry; and
  8. The eligible period for all entries is from April 2014 - September 2015. All submitted entries must focus upon achievements during this period unless otherwise stated.

6. Category of Awards and Specific Entry Details:

All entries must describe in 500 words or less the following:

  1. What successes have you had that make you stand out from your competitors?
  2. What innovative and creative ideas have you used to to overcome any business challenges?
  3. How do you contribute to London's business landscape?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

The category exceptions to these are: Dot London Blogger of the Year 2015, Dot London New Business of the Year 2015, Dot London Young Entrepreneur of the Year 2015, Dot London Social Enterprise of the Year 2015, Dot London Creative Agency of the Year 2015 and Dot Londoner of the Year 2015. They each have their own specific entry details and are listed below.

Dot London Best Place to Eat 2015 - open to all businesses serving food for consumption on the premises or at time of purchase.

Dot London Best Place to Drink 2015 - open to all businesses serving alcoholic or non-alcoholic drink for consumption on the premises or at the time of purchase.

Dot London Best Independent Lifestyle Retailer 2015 - open to all online and physical retail businesses selling any form of product or service, excluding food and drink.

Dot London Best Independent Groceries Retailer 2015 - open to all businesses selling any form of grocery products. This includes food and drink products that are sold for off-site/home consumption. Businesses that also sell take-away or food/drink for onsite consumption can enter this category, but will be judged based on their retail offering.

Dot London Best Health, Beauty and Cosmetics Provider 2015 - open to all independent businesses or sole traders providing any form of Health, Beauty and Cosmetics products or services. This includes hair salons, nail bars, day spas, gyms, fitness studios, alternative health practitioners. Retailers specialising in health, beauty or cosmetic products are eligible for this category, and may also consider entering the Lifestyle Retail category.

Dot London Independent Cultural Venue of the Year 2015 - open to all independent venues that provide an entertainment or leisure experience to the local community and visitors to London. This includes, but is not limited to: cinemas, theatres, music venues, galleries, concert halls, arts centres and event spaces.

Dot London Best Place to Stay 2015 - open to all independent establishments that provide paid for accommodation within London all year round.

Dot London Blogger of the Year 2015 - open to any independent London based blogger, social influencer or writer publishing their content online and not associated to a larger site or publisher.

All genres of blogging are eligible for entry across any online platform, including but not limited to: blogs, websites, podcasts, vloggers and specific accounts on any social platform including Instagram, Twitter, Facebook and YouTube.

If entrants are also journalists who work for established outlets they are still eligible to enter, but only their self-published content will be eligible to be judged.

Describe your blog in 500 words or less including:

  1. What makes you different to other independent bloggers and writers?
  2. What innovative and creative ideas have you used to develop your blog and profile?
  3. How does London shape the content that you write or film?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

Dot London New Business of the Year 2015 - open to all independent new businesses and start-ups in London that have been formed since April 1st 2014. Companies from all sectors are eligible for entry into this category.

Describe your business in 500 words or less including:

  1. What does your business do?
  2. What makes you different to your nearest competitors?
  3. How have you used creative and innovative ideas to overcome challenges?
  4. How will your business benefit London's current reputation of being Europe's leading hub for start-ups and new businesses?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

Dot London Young Entrepreneur of the Year 2015 – open to any individual under the age of 30 on 1st September 2015 who has been active in the period since April 2014. Nominees will be judged on entrepreneurial activity during the eligibility period.

Describe yourself in 500 words or less including:

  1. Why do you think you are a successful entrepreneur?
  2. What creative and innovative ideas have you used to overcome any business challenges?
  3. What do you add to London's business landscape?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

Dot London Social Enterprise of the Year 2015 - For the purpose of the awards a social enterprise is defined as a business or organisation that trades for a social, charitable and/or environmental purpose.

All nominees must have clear sense of their 'social mission': which means knowing what difference it is trying to make, who it aims to help, and how it plans to do it. Companies from all sectors are eligible for entry into this category.

Describe your social enterprise in 500 words or less including:

  1. What makes you different to other Social Enterprises?
  2. What creative and innovative ideas have you used to overcome challenges?
  3. What does your social enterprise add to the London landscape?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

Dot London Creative Agency of the Year 2015 - open to any independent creative agency or freelance practitioner, with eligible disciplines including but not limited to: PR, design, online, digital, live events, social media, advertising, branding, audio-visual and marketing.

If entrants are also journalists who work for established outlets they are still eligible to enter, but only their self-published content will be eligible to be judged.

Describe your business in 500 words or less including:

  1. What makes you different to your competitors?
  2. What creative and innovative ideas show your understanding of your Client's needs?
  3. How does your business benefit London?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

Dot Londoner of the Year 2015 - open to any registered Dot London users with live websites, including businesses, organisations and personal brands.

Describe your business in 500 words or less including:

  1. What makes you different to your competitors?
  2. How you have used your Dot London domain in a creative or innovative way?
  3. What does your business add to the London business landscape?

Entrants must answer the additional below question in 100 words or less:

  1. What will it mean to you to win this award?

7. Should a category not receive sufficient entries at the discretion of the judging panel, it may be withdrawn from the Awards Ceremony.

8. By entering the Promotion, entrants give their permission for their entries to be used by the Promoter without further compensation for up to one year for promotion purposes. Copyright will remain with the entrant. However, by entering this promotion, the entrant agrees to the Promoter publishing these entries on their website and possible further use on their website, Facebook, Twitter and Instagram. They also agree to other possible promotional use in media of the promoters choosing without any payment but with appropriate credit given to the original entrant for up to one year.

9. Also by entering the Promotion, entrants agree to partake in the Awards Ceremony and all entrants hereby grant the Promoter (or the Promoter's designee) the exclusive right to film, tape, sound record and photograph all their activities in connection with the Promotion and (if applicable) any prizes.

10. All entries must be received by the end of the Promotion Period to be valid and no liability is accepted for illegible, incomplete or late entries.

11.

  1. Nomination Period: Maximum one nomination per category, per business or individual during the Nomination Period. Any further entries submitted by a business or individual will not be accepted or judged and are ineligible to win.
  2. Voting Period: Maximum of 1 vote per person (limited to 1 vote by email address) per category during the Voting Period. Voters will need to confirm their email address (as used when voting) for their vote to count.

    Receiving Updates from The Dot London Small Business Awards: During the voting process voters have the option to subscribe to receive updates by email from The Dot London Small Business Awards. If you decide to subscribe we will only collect personal information given by you when you register with us, and your information will not be shared with third parties. You will be able to update and amend your personal information at any time by emailing info@awards.london. You can also unsubscribe from The Dot London Small Business Awards mailing list any time by following the unsubscribe link in our email communications.

12. Prizes: There will be 1 winner for each of the 13 categories and they will each win 1x £1000, one-to-one mentorship on how to improve their online business presence and a free standard Dot London domain name for a year, subject to availability. If the winners wish to continue using their Dot London domain name after the first year, they will be required to pay a renewal fee, as set by their designated registrar. Winners will be notified of prices by their registrar prior to agreeing which Dot London domain name they will be given. Winners will also be invited to the Awards ceremony on 21st January 2016 at a central London location.

13. Further Prize Details:

  1. The prize will be sent to the winner/winning business by bank transfer;
  2. Attendee numbers at the Awards Ceremony may be limited

14. The prizes are non-transferable, are not exchangeable and have no cash alternative.

15. The Promoter reserves the right to offer alternative prizes, of equal or greater value, should the advertised prizes become unavailable for reasons beyond their control.

16. Finalist Selection: All valid entries received (subject to moderation) will be judged independently within 5 working days of the end of the Nomination Period and in accordance with the criteria relating to each category in relation to: innovation, London and success.

  1. Dot London Best Place to Eat 2015
    • Display innovation with food offering and diversity of menu;
    • Innovative or creative customer dining experience;
    • Demonstrate how London is pivotal to the heart of the business and at the centre point of the business model;
    • Demonstrate a strong customer base that has grown, or is growing, since launch; and
    • Successful growth forecast and sustainability.
  2. Dot London Best Place to Drink 2015
    • Display innovation with drinks offering and diversity of menu;
    • Innovative or creative customer experience and ambience;
    • Demonstrate how London is pivotal to the heart of the business and at the centre point of the business model;
    • Demonstrate a strong customer base that has grown or is growing since launch; and
    • Successful growth forecast and sustainability.
  3. Dot London Best Independent Lifestyle Retailer 2015
    • Display innovation with customer product offerings including the design, quality, diversity of the collection and packaging and branding;
    • Innovative or creative customer buying process and experience;
    • Demonstrate how London is pivotal to the heart of the business and at the centre point of the business model;
    • Demonstrate a strong customer base that has grown or is growing since launch; and
    • Successful growth forecast and sustainability.
  4. Dot London Best Independent Groceries Retailer 2015
    • Display innovation with customer product offerings including the source, sustainability, heath aspects, range and diversity of produce;
    • Innovative or creative customer buying process and experience;
    • Demonstrate how London is pivotal to the heart of the business and at the centre point of the business model;
    • Demonstrate a strong customer base that has grown or is growing since launch; and
    • Successful growth forecast and sustainability.
  5. Dot London Best Health, Beauty and Cosmetics Provider 2015
    • Display innovation with its health and beauty offerings and diversity of treatments and courses;
    • Innovative or creative customer experience and ambience;
    • Demonstrate how London is pivotal to the heart of the business and at the centre point of the business model;
    • Demonstrate a strong customer base that has grown or is growing since launch; and
    • Successful growth forecast and sustainability.
  6. Dot London Independent Cultural Venue of the Year 2015
    • Creativity or innovation is displayed within the user experience;
    • Innovation and creativity to launch and attract a diverse range of visitors and audiences;
    • The venue's links to London and the role of London within their business model;
    • Demonstrate an increase in visitor numbers since launch; and
    • Brand awareness and reputation.
  7. Dot London Best Place to Stay 2015
    • Creativity or innovation demonstrated within the visitor experience- design, style, facilities on offer and customer service;
    • Innovation and creativity to launch establishment and ultimately grow visitor numbers;
    • How London plays a vital role within the visitor accommodation framework;
    • How the venue showcases what London has to offer;
    • Demonstrate an increase in visitor numbers since launch; and
    • Brand awareness and reputation.
  8. Dot London Blogger of the Year 2015
    • How their content is dynamic and innovative;
    • Creative design of the site and the style of content display;
    • How the individual and their content are focused on London and how their place in London plays a key role in their work;
    • The usability of the site; and
    • Growth of the site and any marketing tools used to increase traffic.
  9. Dot London New Business of the Year 2015
    • Innovative business idea and launch to market;
    • Tools used for growth to develop and build the business;
    • Innovation and creativity used to overcome business challenges;
    • Links to London, both the individual's and the business's;
    • Commercial success and potential future growth; and
    • Sustainability of the business.
  10. Dot London Young Entrepreneur of the Year 2015
    • Innovative business idea and launch to market;
    • Business acumen and innovation in their ways of working and approaching business;
    • Links to London - both the individual's and the role London plays in the heart of the business;
    • Commercial success and potential future growth; and
    • Sustainability of the business.
  11. Dot London Social Enterprise of the Year 2015
    • Vision and strategic direction of the social enterprise;
    • Evidence of creativity and innovation to highlight their social mission;
    • A creative approach to problem solving;
    • Demonstrating highly impactful social or environmental results for and within a London community;
    • Demonstrate how London is at the heart of the business;
    • Demonstrate clear leadership and management;
    • Show clear customer satisfaction; and
    • Sustainability of the business.
  12. Dot London Creative Agency of the Year 2015
    • Level of creativity and innovation demonstrated in approach to work;
    • Innovation and creation demonstrated across inspired leadership, management, business performance and overall achievement;
    • Agencies links to London and work within London's creative community;
    • Evidence of understanding Client's needs and delivering with demonstrable impact; and
    • Delivering on brief and achieving Clients goals within budget and on time.
  13. Dot Londoner of the Year 2015
    • Level of creativity and innovation demonstrated within business model and the role of the Dot London domain name within this;
    • Innovation and creation used with the Dot London website. Judges will look at design, style and content;
    • Demonstrate Dot London as a pivotal part of the business;
    • Effective use of the Dot London website and the traffic of users to the site;
    • The usability and ease of functionality of the site for the customers; and
    • An increase in traffic to the site since launch.

17. Moderation: The Promoter will reject entries which, in the reasonable opinion of the Promoter:

  1. Contain any content that is likely to be considered offensive by the Promoter or could reflect negatively the name, reputation, or goodwill of the Promoter or any brand partner;
  2. include trademarks, logos, or copyrighted material not owned by the entrant or used without the right holder's prior written permission (including famous names, company names, etc.);
  3. defames, misrepresents, or insult other people or companies, including, but not limited to the Promoter (including its partners);
  4. promotes any political agenda.

18. Finalist Notification: A shortlist of up to 10 entries per category will be selected by the judges. These finalists will be notified via the email address and/or phone number, provided on entry, that their entries will be added to www.awards.london to be voted on by the public during the voting period. The entries with the most votes will be winner of the relevant category. In the unlikely event that more than 1 entry in the same category receives the same number of votes in the event of a tie the judges will decide on a winner.

19. Winner Notification: The winner of each category will be announced on the night at the ceremony, via social media and then the following day on the website www.awards.london and to the press. In the event that a winner is not able to attend the ceremony they will be contacted the day following the ceremony and notified.

20. Travel to/from the awards ceremony plus any additional expenses will not be reimbursed by the promoter, and accommodation will not be provided.

21. The Judges' decisions are final and binding and no discussions or correspondence will be entered into relating to any of their decisions.

22. The Promoter reserves the right to verify the eligibility of entrants. The Promoter may require such information as it considers reasonably necessary for this purpose and a prize may be withheld unless and until the Promoter is satisfied with the verification.

24. Bulk entries made from trade, consumer groups or third parties will not be accepted. Incomplete entries, entries submitted by or via third parties or syndicates, entries submitted by macros or other automated means, and entries which do not satisfy the requirements of these terms and conditions in full will be disqualified and will not be counted. If it becomes apparent that a participant is using a computer(s) to circumvent this condition by, for example, the use of 'script', 'brute force', masking their identity by manipulating IP addresses, using identities other than their own or any other automated means in order to increase that participant's entries into the Promotion in a way that is not consistent with the spirit of the promotion, that participant's entries will be disqualified and any prize awarded will be void.

25. To the extent permitted by law, the Promoter shall not be liable to the winners for any loss or damage whatsoever caused (whether in contract, tort (including (without limitation) negligence), statutory duty or otherwise) arising out of or in connection with the competition and the prize.

26. The Promoter not liable for any costs incurred by candidate organisations during the nomination process.

27. The Promoter or its agencies will not be responsible for the non-inclusion of entries as a result of technical failures or otherwise, including any such failure which is within the control of The Promoter or its agencies. Proof of submission of entry is not proof of receipt of entry. The Promoter accepts no responsibility for system errors or other issues that may result in disruption to lost, delayed or not received entries or winner notifications.

28. The winners will be requested to participate in reasonable publicity arising from the promotion.

29. By entering the promotion, entrants confirm that they have read and agree to be bound by these terms and conditions.

30. If for any reason the Promotion is not capable of running as planned for reasons including but not limited to tampering, unauthorised intervention, fraud, technical failures or any other causes beyond the control of the Promoter which corrupt or affect the administration, security, fairness, integrity or proper conduct of this promotion, the Promoter reserves the right (subject to any written directions given under applicable law) to disqualify any individual who tampers with the entry process and to cancel, terminate, modify or suspend the promotion. Any entrant who, in the opinion of the judges or the organisers, is perceived to have harassed or bribed any member of the panel or team will have their entry disqualified.

31. If an act, omission, event or circumstance occurs which us beyond the reasonable control of the Promoter and which prevents the Promoter from complying with these terms and conditions the Promoter will not be liable for any failure to perform or delay in performing its obligation.

32. The name and counties of the winners will be available by sending an email to info@awards.london 2 months after the Awards Ceremony on 21st January 2016 and will be available for 4 weeks.

33. This promotion is governed by the English Law and participants submit to the exclusive jurisdiction of the English courts.
